Job applicant privacy notice

This notice explains how Swindlers Ltd (company number 17477672, 19 Aberdeen Walk, Scarborough) uses your personal information when you apply for a job with us. Swindlers Ltd is the controller of this information. Our general privacy notice explains your rights and how to complain.
What we collect
When you apply through our website, we collect:
- your name, email address and phone number (optional)
- the job you're applying for
- what you tell us about yourself in your application
- your confirmation that you have the right to work in the UK
If we invite you to an interview, we'll also keep notes of the interview and our decision. If we offer you a job, we'll check your right to work in the UK before you start, as the law requires, and ask for further details for your employment. Our staff privacy notice then applies.
Please don't include sensitive information we haven't asked for, such as health details, religion or ethnicity. If you need adjustments for an interview because of a disability, just tell us what would help.
How we use it
We use your information only to consider your application: to assess your suitability, contact you, arrange interviews, and make and record our decision.
Our lawful bases are:
- taking steps at your request before entering into a contract (processing your application)
- legal obligation (right-to-work checks, and complying with equality law)
- legitimate interests (keeping records of recruitment decisions in case they're challenged)
Who sees it
- Your application is seen only by the people involved in hiring: the owner and, where relevant, the manager of the venue you're applying to. When an application arrives, they get an email with your details and a short text alert showing your first name and surname initial.
- We use Brevo to send those alerts and our emails to you, and [TO CONFIRM: hosting provider] to host our systems. Both act only on our instructions.
- We don't share your application with anyone else unless the law requires it.
No automated decisions
A person reads every application and makes every decision. We don't use automated decision-making or profiling to assess applicants. We sometimes use an AI writing tool to help draft our job adverts, but never to read or assess applications.
How long we keep it
We keep applications for 6 months after you apply, then delete them automatically. If you're successful, your application becomes part of your staff record. If you'd like us to keep your details for future vacancies beyond 6 months, we'll ask you first.
Your rights
